This policy explains how information is handled when you use the Easy Licence website, including enquiry summaries, browser preferences, optional analytics, access, correction and complaints.
01What this policy covers
This policy covers the Easy Licence website and its browser-based enquiry summary tool. The tool helps you prepare for a consultation and does not receive application documents.
Australian privacy protection involves federal, state and territory laws. Coverage under the Privacy Act 1988 and Australian Privacy Principles (APPs) depends on the organisation and its activities; some small businesses are also covered. Your rights depend on the information handling and applicable law.
02The enquiry summary stays in your browser
The tool uses your selected services, location, intended work city and optional question to create a text summary. It has no online submission or attachment upload function. Creating a summary does not send it to Easy Licence, an assessor or a licensing authority.
The page processes the summary text and free-text inputs without saving them to localStorage, a server or a customer database, or sending them to an analytics service. Your browser may independently retain information through autofill, session restoration or device synchronisation, depending on its settings.
- Copy writes the summary to your device clipboard only when you select it. You decide whether to paste or send it.
- Download creates a text file on your device. Print uses the printer or printing service you select.
- If you send your summary through email, WeChat or another service, that channel handles it under its own arrangements. The website does not send it for you.
- Do not enter passport numbers, identity document numbers, banking information, health details or another person’s confidential information. A general description of your trade and experience is sufficient.
03Website access, cookies and browser storage
Changing the light or dark appearance saves a preference called theme in browser localStorage. You can remove it through your browser’s site-data settings and select your preferred appearance again. It is not an application record.
The website offers optional Google Analytics 4 (GA4) statistics. The Google analytics script and analytics cookies are used only when analytics is enabled on the website and you allow it. Before a choice or after rejection, the script is not loaded and analytics events are not sent to Google. The website does not enable advertising pixels, Google Signals or advertising personalisation. Fonts and page images are served with the website files.
When a website is accessed online, the server receives technical connection information such as an IP address, requested page, time and browser information. Hosting or security services may keep access and error logs.
04Optional website analytics and your preferences
When enabled and allowed by you, GA4 helps us understand page visits and use of consultation entry points so we can improve content and navigation. Statistics may include page paths, page language, device and browser information, random cookie identifiers and approximate location, along with phone clicks, enquiry entry clicks and successful creation of an enquiry summary. Events may include predefined service categories and entry-point positions.
Analytics does not send your question, free-text location or other free-text inputs, summary text or application documents. Query parameters and fragments are removed from page and referring URLs before sending. A phone click does not establish that a call connected, and creating a summary does not submit an enquiry or application to Easy Licence.
When analytics is enabled, you can select Allow analytics or Reject analytics and change your choice through Analytics preferences. The choice is saved in this browser’s localStorage. Rejecting or withdrawing permission stops analytics, removes this website’s _ga cookie and cookies whose names start with _ga_, and reloads the page. Essential pages, phone links and summary functions remain available.
You can also remove cookies and site data through your browser settings. Withdrawing permission does not automatically delete statistics Google has already processed. After clearing the browser’s saved choice, you may be asked to choose again on a later visit.
05Before providing application documents
Before providing application documents, check the service documents for the legal operator, information purposes, recipients and delivery channel, and read the relevant collection notice.
An application may require contact, identity, qualification, employment, project or referee information. This is not a request to provide all those records now: requirements depend on the programme or licence class. Check that you are authorised to provide information about employers, referees, clients or other people in site photographs, and remove unrelated details.
If you are unsure why a document is needed or how missing information affects your application, check with your service contact first. Browsing this website does not authorise anyone to submit an application for you.
06Disclosures and overseas handling
The content of your enquiry summary is not automatically sent to RTOs, TRA, QBCC or other third parties. If you separately engage an application service, check which organisations or people will receive your information and why.
When analytics is enabled and you allow it, the website usage statistics described above are sent to Google for processing. Google uses service facilities in different countries and regions, so statistics may be processed outside Australia. We do not send summary text or free-text inputs to Google.
Where application documents supplied through another channel involve overseas recipients, read the relevant collection notice for the recipients, processing locations and arrangements. Browsing this website does not authorise us to disclose your application documents.
07Security, retention and deletion
You control downloaded, copied and printed summaries. Avoid leaving personal information on shared devices, shared clipboards or unattended printers. This website cannot remotely delete copies you save or send.
The website does not save enquiry summary text or free-text inputs. You can edit the page inputs, clear browser site data or delete files you have saved. Application documents supplied through another channel are handled under that service’s information arrangements and applicable law.
Statistics collected after you allow analytics are handled under the Google Analytics property’s data retention settings. Retention settings for detailed user and event data do not apply to standard aggregated reports. Deleting browser cookies or withdrawing permission does not automatically delete existing statistics.
Where the APPs apply, organisations must take reasonable steps to protect personal information and to destroy or de-identify information no longer needed, subject to applicable retention requirements. Retention periods depend on the purpose and legal requirements.
08Access and correction requests
Easy Licence cannot access or edit a summary that stays in your browser and has not been sent. Edit the inputs and generate another summary, or manage your saved copies.
If you have supplied personal information through another channel, use the verified contact from that interaction to request access or correction. Identify the relevant records and correction sought, without sending complete identity documents in the initial request.
Identity or representative-authority checks may be needed to handle a request. Applicable law determines the scope and exceptions for access, correction and deletion requests.
09Privacy concerns and complaints
For concerns about information handling, contact the verified operator or contact person from your service with the event, date, relevant information and resolution sought. The enquiry summary tool does not submit complaints.
For organisations covered by Australian privacy law, complain to the organisation first. If it has not responded within 30 days or you are unhappy with its response, check OAIC’s complaint requirements and submission channel. Its jurisdiction does not cover every business or dispute.
10Policy changes
The update date appears at the top of this page. When using the website again or providing information, check this policy and the collection notice for the service you use.
